Why You Need to Book Your Event Vendors as Early as You Can

If you’re planning a big event, starting sooner rather than later is crucial. Whether you’re in charge of hosting a birthday party, an anniversary party, a family reunion, or even a wedding, booking as soon as you will help make the process smoother and will reduce your stress in the days leading up to the event significantly. It might also mean the difference between the event taking place or not.

This was written last year and they were absolutely right! Although they’re talking about weddings, the same can be said for any type of event.

Whether you’re aiming to work with a specific caterer, decorator, or another type of vendor, here are some reasons that you need to book the vendors for your next event ASAP!

Book early or the vendors you want to work with won’t be available.

Most events that were originally scheduled to take place in 2020 were delayed and will now take place in 2021 or beyond. That means that venues and vendors that would normally be in high demand will be even harder to book! Start your communication with them as soon as you can so you’ll have a better chance at getting the dates and services that you’re hoping for. If you wait too long there’s a good chance they’ll have commited to work at some else’s event already.

If you don’t book early, you may not be able to staff your event.

The increased number of large events that are being planned right now means that it’s far more likely that vendors may have trouble committing to events due to the number of staff they have available. 

Booking early means that your vendors will have time to account for any issues like shipping delays.

If you’ve been online shopping a lot during the pandemic, you’re probably familiar with the fact that shipping delays are more common during the current time. And vendors have the same experience. Remember that vendors won’t start working until after you’ve signed a contract with them, so they will need plenty of time to get everything need together for your event.

Booking early will help avoid production delays.

Production delays aren’t an uncommon occurrence right now – many items are not available for several reasons. Firstly some production facilities may not have had the staff available to keep up with their pre-pandemic levels of output. They also may have had issues getting the raw materials needed to make their products. If you book in advance you’ll account for the extra time that will be necessary for certain items to be made.
